Position Type: Full-Time

Work Schedule: Monday – Friday, 40 hours/week, 8:30 a.m. - 5:00 p.m. Occasionally may cover the 9:30 a.m. - 6:00 p.m. shift.

Role Summary:

The Healthcare Receptionist and Scheduler is responsible for performing essential clerical duties, including answering phone calls, welcoming patients and visitors, and efficiently scheduling appointments.

Key Responsibilities:

  • Greet and assist all patients and visitors, either in person or via phone, with a courteous and customer-oriented approach.
  • Register new patients and update existing patient records by gathering comprehensive personal and insurance information.
  • Collect co-payments, deductibles, and co-insurance from patients, ensuring accurate record-keeping in the database.
  • Facilitate patient flow by notifying technicians of patient arrivals, managing delays, and maintaining communication with patients and radiology staff.
  • Enhance patient satisfaction and optimize provider time by scheduling appointments through the electronic medical records (EMR) system.
  • Provide comfort to patients by addressing their concerns and answering questions proactively.
  • Respond to inquiries from patients, prospective patients, and visitors in a professional manner.
  • Maintain compliance with HIPAA regulations and ensure patient confidentiality by securing protected health information.
  • Keep the reception area organized and presentable.
  • Perform additional duties as assigned by the supervisor.
  • Adhere to all company policies and procedures.

Qualifications:

Education:

  • High School Diploma or equivalent required.

Experience:

  • 1 – 2 years of experience in a medical office setting preferred.

Certifications:

  • Medical Administrative Assistant Certification is preferred.

Skills:

  • Familiarity with office procedures and patient check-in processes.
  • Understanding of medical terminology related to patient insurance and billing.
  • Experience in processing patient payments and insurance claims.
  • Proficient typing skills (minimum 40 WPM) and computer literacy, including Microsoft Office.
  • Ability to learn and navigate electronic medical record (EMR) systems.

  • Attention to detail and ability to manage multiple tasks efficiently.
