Key Responsibilities
- Provide high-level administrative and technical assistance to the Human Resources Director. Manage and organize the daily agenda for the HR Director, including scheduling meetings, coordinating logistics, developing meeting agendas, and arranging travel plans. Monitor and track action items effectively.
- Represent the Human Resources Director and the division with professionalism across the organization.
- Conduct HR audits and assessments, compiling and finalizing reports. Execute advanced data entry tasks.
- Serve as the primary point of contact for the front office, assisting visitors to the Human Resources Division. Handle incoming phone calls and respond to inquiries from employees and applicants regarding HR programs, policies, or procedures. Provide administrative support to other HR personnel as necessary.
- Assist the HR Director in delegating tasks to other HR staff, ensuring effective communication and coordination of activities within the division.
- Support HR functions by providing technical assistance in recruitment, benefits, wellness, and onboarding processes, including scheduling meetings and preparing correspondence.
- Maintain an organized filing system for the HR Director's records, encompassing information on division programs and their activities.
- Oversee the processing of documentation for departing employees.
- Manage the service awards program, identifying eligible employees and maintaining award inventory, including generating and distributing certificates.
- Coordinate purchasing requisitions and receipts for the division; manage equipment, inventory, and supplies. Assist in developing and monitoring the division's budget.
- Maintain personnel files for the organization’s headquarters and regional offices; assist in organizing electronic files for the HR division.
- Handle incoming and outgoing mail for the division.
- Execute special projects for the HR Director and other HR staff, conducting research on time-sensitive issues.
- Coordinate responses to open records requests.
- Organize the annual State Employees Charitable Campaign (SECC).
- May assist training staff with course registration and related activities.
- May support the Tuition Assistance Program (TAP).
- May assist with recruitment processes, including job postings, application screening, interview scheduling, and communication with managers and candidates.
- Perform additional duties as assigned.
- A Bachelor’s degree in human resources, business administration, or a related field.
- HR certification is preferred.
