Job Overview

The Receptionist provides critical support to the International Rescue Committee's office operations, ensuring a seamless experience for visitors, clients, and staff. This role is responsible for managing the front desk, coordinating telecommunications, and maintaining a welcoming atmosphere.

Key Responsibilities:
  • Greet and direct visitors, clients, and staff with professionalism and courtesy.
  • Manage the flow of visitors during peak periods, ensuring a smooth and efficient experience.
  • Answer and direct incoming telephone calls, referring inquiries to the appropriate staff member.
  • Make appointments and conduct follow-up calls, utilizing the voicemail system as needed.
  • Ensure staff, clients, and guests are checked in using the Proxyclick system and provide programmatic support as required.
  • Provide referrals and information on IRC programs and services, as well as refer non-IRC clients to internal and external resources.
  • Maintain the lobby, classroom, conference room, and huddle rooms in a tidy and organized state.
  • Update lobby bulletin boards with relevant information and flyers.
  • Order and maintain office supplies, reviewing inventory and monitoring prices.
  • Assist with maintaining donations inventory and provide access to the donation store as needed.
  • Maintain office equipment, including the copier and projector, and escalate issues as necessary.
  • Receive and distribute mail and packages, processing outgoing mail and depositing it in the mailbox daily.
  • Perform other tasks and projects as assigned.
Requirements:
  • High school diploma or equivalent education or work experience.
  • Minimum 1 year of relevant work experience in administration, reception, or customer service.
  • Ability to work as a team member and demonstrate experience working with diverse communities and cultures.
  • Must be well-organized, reliable, professional, detail-oriented, and flexible.
  • Ability to work independently, be a self-starter, and maintain responsibility for multiple tasks.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Excellent communication skills, with fluency in spoken English.
  • Bilingual ability in one of the predominant languages of the local client base is a plus.
Working Environment:
  • Professional, fast-paced office environment.
  • Must be able to use a computer for long periods of time.
  • Position hours are Monday-Friday, 9:00am-5pm.
Compensation:

Posted pay ranges apply to US-based candidates. Ranges are based on various factors, including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience, and skills relative to the defined job requirements.
