Position Overview
The Senior Legal Intake Specialist will play a pivotal role in various firm initiatives concerning new business intake and conflict resolution.

This role will primarily focus on executing processes related to the evaluation of new clients, identifying and resolving conflicts, and reviewing outside counsel guidelines.

The position will report to the Client Intake Manager and collaborate closely with the firm's ethics officer.

Key Responsibilities:


Manage the intake process for prospective new clients on behalf of sponsoring attorneys, which includes conducting conflict of interest assessments, analyzing resulting conflict reports, identifying any conflicts, and communicating with involved attorneys to resolve such conflicts. Draft engagement letters and necessary waivers as required.

Ensure accurate record-keeping related to new client intake, including maintaining the firm's conflict records, intake forms, engagement letters, and outside counsel guidelines.

Collaborate with internal stakeholders to mitigate potential risks associated with new business intake and client-tendered outside counsel guidelines.

Review outside counsel guidelines, identify potential issues, liaise with internal stakeholders, draft and revise related agreements, and negotiate with clients as needed.

Draft waivers of conflicts of interest as necessary.
Utilize internal and external research tools to assess potential risks linked to new client intake.
Conduct quality checks of submissions from Intake Attorneys to ensure adherence to best practices.

Serve as a resource and subject matter expert for the department and firm attorneys on conflict of interest matters and all aspects related to new client intake, new matters, and lateral conflict clearance.

Work closely with the firm's ethics officer to ensure best practices are applied in the development and implementation of engagement letters; ensure compliance with the terms of engagement letters.

Potentially assist in the evaluation and implementation of new software tools relevant to the department's functions, including ethical walls and outside counsel guidelines.

Maintain an understanding of firm trends and developments that impact the department and its processes to effectively manage ethical and business risks.

Assist in the preparation, implementation, and maintenance of ethical walls.
Assume additional responsibilities as directed by the Client Intake Manager or the firm's ethics officer.
This role requires 60% in-office presence; remote work is permissible 40% of the time.

Qualifications:
A Bachelor's degree and JD are required.
A minimum of 4 years of law firm experience in a similar role is required.
Working knowledge of ethical, legal, and risk management rules and requirements, with a willingness to learn substantive law is essential.

Ability to thrive in a fast-paced, service-oriented environment, prioritize multiple projects daily, and adapt to shifting priorities.

Excellent written and verbal communication skills are necessary.
Experience with conflict management software such as Intapp is preferred.
Familiarity with Elite 3E or other billing software is advantageous.
Proficiency in online research tools such as LexisNexis is required.
Strong legal research, writing, and communication skills are essential.
Demonstrated sense of urgency and ability to analyze, work with, and present data.
Ability to collaborate effectively and earn the respect, trust, and confidence of the firm's attorneys and professional staff.

Exceptional customer service skills, with a demonstrated service-oriented attitude and ability to work professionally with attorneys, staff, and colleagues.
