Job Title: Administrative Assistant

The Administrative Assistant will play a crucial role in providing comprehensive support to the COO, CFO, and Chief of Staff. This role is ideal for someone who is detail-oriented, resourceful, and skilled in managing a variety of tasks.

Key Responsibilities:
  • Manage and prioritize schedules as instructed by the Chief of Staff, including coordinating meetings, appointments, and travel arrangements.
  • Prepare and organize various types of materials.
  • Take minutes during meetings and ensure timely follow-up on action items.
  • Work as a liaison between parties within the organization.
Document and Project Management:
  • Assist in the preparation and processing of financial reports, presentations, and other documentation.
  • Manage and track project deadlines and deliverables, ensuring timely completion of tasks.
  • Coordinate printing of various types of leases on a monthly basis.
Office Administration:
  • Oversee office supplies and equipment, ensuring the office environment is well-maintained and efficient.
  • Handle various administrative tasks such as filing, data entry, and maintaining records.
Special Projects:
  • Support the execution of special projects as directed by the COO, CFO, and Chief of Staff.
  • Conduct research as needed by the CFO.
Qualifications:
  • Bachelor's degree or equivalent experience in business administration, finance, or a related field.
  • Minimum of 2 years of experience in an administrative support role, preferably within a family office or similar environment.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
  • Strong attention to detail and commitment to accuracy.
  • Adaptable and able to thrive in a fast-paced, evolving environment.
