Position Overview

As a key member of the AFP team, the Transport Operations Coordinator will work under the guidance of the Transportation Manager to ensure compliance with DOT regulations and maintain essential records for transportation and vehicle maintenance operations.

Key Responsibilities
  • Record Maintenance: Ensure all DOT and legally mandated records for transportation and vehicle maintenance are accurately maintained, including drivers' logs and databases.
  • Audit and Reporting: Conduct audits of drivers' equipment inspection forms, generate work orders, and maintain comprehensive records.
  • Payroll and Mileage Documentation: Prepare and manage payroll records, mileage reports, and other related documentation.
  • Administrative Support: Provide administrative assistance, including preparing necessary paperwork for drivers, maintaining departmental files, and managing communication.
  • Driver Dispatching: Assist in the efficient dispatching of drivers for client deliveries, ensuring alignment with customer needs.
  • Communication: Maintain daily interactions with drivers and dispatch services to coordinate loading and delivery activities.
  • Project Assistance: Support the Transportation Manager with special projects and assignments as required.
  • Policy Compliance: Adhere to company policies and guidelines as outlined in the Employee Handbook.
  • Team Collaboration: Work collaboratively with colleagues to enhance departmental effectiveness and efficiency.
  • Training Participation: Engage in job and safety training sessions as scheduled.
  • Customer Service: Exhibit a helpful and cooperative attitude towards all internal and external contacts.
  • Additional Duties: Perform other responsibilities as assigned, including engaging with new drivers.
Qualifications
  • Familiarity with DOT and FMCSA regulations is highly preferred.
  • Proven experience in maintaining DOT log records and compliance documentation.
  • A minimum of 2 years in an administrative support role with a focus on regulatory compliance.
  • Intermediate proficiency in Excel and Word, along with strong written communication skills.
  • Experience with transportation software and data entry is advantageous.
  • Prior experience in dispatching over-the-road drivers is preferred.
  • Attention to detail and accuracy in record-keeping is essential.
  • Strong customer service orientation and a professional demeanor.
  • Basic math skills are required.
  • A satisfactory driving record is necessary.
  • Willingness to handle work-related responsibilities outside of regular hours when needed.
