Job Overview:

The Senior Procurement Specialist will oversee the acquisition of designated instrumentation materials, ensuring compliance with expiration dates and shelf-life constraints throughout their lifecycle. This role will also provide guidance and mentorship to junior procurement staff while collaborating daily with teams in Field Inventory, Distribution, Logistics, and Customer Service.

This position contributes to defining team objectives and strategies, embracing team decisions and working towards their execution. The Senior Procurement Specialist will establish and promote a productive work environment that fosters team collaboration. By leveraging the strengths of each team member, this individual will facilitate cross-functional cooperation to resolve challenges and provide strategic insights while monitoring the progress of interdisciplinary project teams.

Proactively analyzing and interpreting data is crucial to ensure processes are efficient, accurate, and aligned with customer inventory and supply management demands. Daily decision-making will require a foundational understanding of financial business drivers, including balancing minimum order quantities against the implications for excess and obsolete inventory, expediting inventory and deliveries, negotiating price discrepancies with suppliers, adjusting delivery schedules in response to forecast changes, and knowing when to escalate issues to management regarding potential delivery delays.

Collaboration with the Supply Team Manager and other leaders is essential to develop and implement departmental procedures, guidelines, and process improvements. This role is integral to the development and enhancement of the ERP system.

As a key member of the Supply Team, the Senior Procurement Specialist will engage directly with Suppliers, Marketing, Sales, Accounting, Operations, Logistics, and Engineering to maintain a balance between exceptional customer service and optimal inventory levels.

Key Responsibilities:

  • Manage instrumentation inventory according to forecasts, converting purchase requisitions into purchase orders and overseeing delivery timelines.
  • Work cross-functionally to proactively manage expiring instrumentation, missing inventory, and loose inventory against future purchasing needs.
  • Provide product availability commitments and forecasts to suppliers for capacity planning.
  • Negotiate with suppliers on medium-risk materials to secure the lowest total cost of ownership.
  • Escalate issues to relevant functions when discrepancies, capacity constraints, or quality concerns arise.
  • Utilize company resources effectively.
  • Ensure accountability for the accuracy and impact of supply decisions.
  • Maintain material master data in the ERP system to ensure proper MRP signals and data integrity.
  • Coordinate forecasts for assigned products with suppliers and internal teams, collaborating with New Product teams for effective product launches.
  • Manage products with shelf life or expiration dates to minimize obsolescence.
  • Create and communicate supplier performance reports to stakeholders.
  • Adhere to Government, Regulatory, and Highridge Medical Policies and Procedures.
  • Implement and uphold the effectiveness of the quality system related to Purchasing.
  • Develop and execute Purchasing metrics and various ad hoc reports as needed.

Required Competencies:

  • Ability to generate actionable requirements swiftly and accurately based on MRP outputs and supplier data.
  • Proficient in spreadsheet applications and Microsoft Office Suite (Excel, PowerPoint, Word), with experience in ERP systems.
  • Strong communication skills, capable of engaging effectively with all organizational levels.
  • Self-motivated and able to work independently while being an effective team player with strong analytical and problem-solving abilities.
  • Capacity to handle complex issues, make informed decisions, and manage a heavy workload under time constraints.
  • Understanding of the manufacturing process, accounting principles, inventory control, and documentation flow.
  • Ability to operate with minimal supervision.
  • Intermediate knowledge of quality management systems and their impact on manufacturing compliance.

Education and Experience:

  • Bachelor's degree in a technical, accounting, or business-related field.
  • MBA and APICS certification are preferred.
  • 5-7 years of experience in supplier collaboration and purchasing.
  • 5 years of experience in material requirements planning and inventory control within a manufacturing context is preferred.
  • Experience in Medical Device Manufacturing is advantageous.
  • Familiarity with Lean Manufacturing and Six Sigma methodologies is preferred.

Travel Requirements:

Up to 10% travel may be required.
