Job Overview

The Property Management Support Specialist plays a vital role in assisting with various operational tasks within the property management sector. This position is essential for maintaining a high standard of service and fostering strong relationships with clients and tenants.

Key Responsibilities:

  • Provide comprehensive administrative assistance, including handling phone inquiries, document preparation, and managing correspondence. Ensure the efficient coordination of office supplies and facilitate document dispatch.
  • Support lease management functions by abstracting lease agreements and maintaining an organized database, ensuring all property documentation is systematically filed.
  • Prepare and manage bid proposals and service agreements, while monitoring aging reports and following up on outstanding payments in accordance with company policies.
  • Process invoices accurately in the accounting system, oversee tenant transitions including furniture logistics, and manage maintenance requests and purchase orders.
  • Maintain up-to-date tenant information in the database and ensure compliance with operational procedures as outlined in the Property Operations Manual.
  • Oversee the processing of staff hours, expense reports, and check requests, ensuring timely billing for tenant-related charges.
  • Assist in the preparation of annual budgets and monthly financial summaries, including managing bank deposits as needed.

Required Qualifications:

  • A minimum of 1 year of experience in real estate property management.
  • Proficiency in administrative support within an office setting, with a strong emphasis on computer skills, including data entry and document management.
  • Familiarity with Microsoft Outlook, Word, and Excel, with basic Excel skills.
  • Experience in a client-facing role, demonstrating professionalism and polished communication skills.
  • Strong organizational and time management abilities.
  • High school diploma or equivalent.

Preferred Qualifications:

  • Additional experience in commercial real estate management.
  • Possession of or willingness to obtain a Commercial Real Estate License.
  • Experience with property management software such as Yardi.
  • Bachelor's degree in a related field.
