Position Overview:

The Perioperative Procurement Specialist is integral to ensuring the efficient operation of purchasing and vendor management activities that support the Perioperative and Procedural Services at HUP. This role involves researching, managing, and processing requests in collaboration with the Perioperative Supply Chain, Contracting, vendors, and stakeholders. The primary goal is to enhance the patient care experience by providing a solid foundation of services, operational support, and specialized expertise in supply chain management. As a key member of the Perioperative Supply Chain team, this position is dedicated to delivering exceptional service to clinical teams and surgeons, ensuring that supply chain operations contribute positively to clinical outcomes, patient safety, quality, efficiency, and cost-effectiveness.

Key Responsibilities:
  • Process purchase orders and requisitions while adhering to established guidelines.
  • Review incoming requests for products, services, and equipment, ensuring compliance with procurement protocols.
  • Assist in resolving invoice discrepancies and manage related processes.
  • Maintain buyer notes and manage EDI holds effectively.
  • Update procurement systems to address issues related to invoices and returns.
  • Conduct research to identify the best sources and pricing for requested products, ensuring competitive pricing.
  • Serve as the primary contact for stakeholders regarding procurement-related inquiries.
  • Facilitate communication with vendors to track order status and resolve issues.
  • Ensure compliance with local and group purchasing contracts during order placement.
  • Utilize procurement information systems for order management and reporting.
  • Support the Received Not Invoice (RNI) process and manage blanket/standing orders.
  • Communicate purchasing updates and delivery information to relevant parties.
  • Solicit vendor quotes in accordance with established procedures for competitive sourcing.
  • Collaborate with Shipping, Receiving, and Inventory teams to ensure accurate order fulfillment.
  • Address backorder issues and assist in finding suitable replacements.
  • Organize administrative tasks and prioritize effectively to meet departmental expectations.
  • Maintain high standards of customer service and confidentiality in all interactions.
  • Demonstrate respect and cooperation with all hospital personnel and services.
  • Perform duties in alignment with Penn Medicine's values and policies.
Qualifications:
  • High School Diploma or GED (Required).
  • Bachelor's Degree in a relevant field (Preferred).
  • Minimum of 2 years of experience in procurement or supply chain management.
