Position Title: Special Events Manager

Reports To: Deputy Director for Visitor Experience

Purpose of the Role:

The Special Events Manager is responsible for crafting and executing strategies that enable the Museum to meet and surpass revenue objectives related to event rentals, while ensuring exceptional service for both internal and external stakeholders. This role also includes the oversight of the Special Events team.

Key Responsibilities:

  • Oversee the sales of the Museum's primary venues, including the main courtyard, theater, and glass studio. This involves a range of sales activities such as making sales calls, scheduling appointments, and preparing quotations to achieve financial targets.
  • Assist clients throughout the event planning journey, which includes responding to initial inquiries, conducting facility tours, finalizing contracts, and organizing detailed walkthrough meetings. Post-event follow-ups are essential to gauge and enhance client satisfaction.
  • Ensure adherence to Museum policies while delivering the highest quality of service to clients.
  • Manage the budget for the Events Department, including a targeted marketing budget aimed at maximizing return on investment.
  • Foster strong relationships with clients and vendors to enhance collaboration.
  • Supervise and coordinate the activities of Special Events Coordinators and Event Supervisors, serving as the main point of contact for the Events Department. Support other Museum departments in planning and executing their events, which includes logistics such as ordering supplies and arranging room layouts.
  • Maintain the Museum's master calendar to ensure all events are effectively scheduled.
  • Complete detailed work orders and documentation to facilitate clear communication with event supervisors and all relevant Museum departments.
  • Act as the Event Supervisor for various rental and internal events.
  • Represent the Museum at industry trade shows.
  • Organize the biennial in-house bridal show.
  • Perform additional duties as required.

Qualifications:

A high school diploma or equivalent is mandatory, with a BA/BS strongly preferred. A minimum of 3-5 years of relevant experience in events, sales, customer service, or hospitality is required, along with proven management experience and the ability to effectively supervise staff. Experience in theater is a plus. Candidates must be highly organized, detail-oriented, and possess excellent communication and presentation skills. The ability to manage multiple tasks and priorities is essential. A professional demeanor and a demonstrated history of sales success are crucial. Proficiency in MS Office applications, including Word, Excel, and Outlook, is required.

Work Environment:

This role is situated in a dynamic office setting. Due to the nature of the position, work hours and days may be adjusted to align with the Special Events schedule.

Physical Demands:

The candidate must be capable of lifting and carrying items weighing up to 50 lbs, including navigating stairs. The role requires intermittent standing, walking, sitting, squatting, stretching, and bending throughout the workday. Adequate vision and hearing, or the use of prosthetics, are necessary to fulfill the requirements of this position.
