Operations Coordinator Job Description

We're seeking a highly organized and detail-oriented Operations Coordinator to join our team at Behind the Design. As a key member of our operations team, you will play a critical role in ensuring the seamless flow of materials and information between clients, vendors, and our installation team.

Key Responsibilities:
  • Project-manage the post-order process, streamlining logistics and inventory management
  • Collaborate closely with the Operations Manager to prepare for installations and coordinate vendor communications
  • Oversee a high volume of projects at various stages, maintaining efficient warehouse operations and inventory management
  • Prepare materials and provide installers with product and installation details
  • Communicate effectively with vendors and logistics partners regarding orders, deliveries, and timelines
  • Support installation scheduling and troubleshoot any changes that arise
  • Update multiple platforms, including Salesforce, Smartsheet, and vendor portals, throughout the project management process
  • Ensure project timelines are met through effective coordination among internal teams, clients, and vendors
Requirements:
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Ability to lift up to 50 lbs regularly
  • Basic knowledge of warehouse operations and inventory management
  • Familiarity with Salesforce, MS Office Suite, Smartsheet, or ERP systems is a plus
  • Background in customer service and/or account management; operations experience is desirable
  • Experience in distribution, purchasing, and/or vendor management is preferred
