Job Summary

Housing Opportunities Unlimited is seeking a highly organized and detail-oriented HR & Finance Assistant to support the HR and Finance departments with accounting functions and various administrative tasks. This is a great opportunity to gain a total company perspective with two departments that work with all facets of the organization.


Key Responsibilities
  • HR Responsibilities:
    • Assist during the pre and post-hiring process by coordinating scheduling of phone screens, interviews, and new hire orientation.
    • Ensure receipt of all reviewed and interviewed candidates' resumes for Affirmative Action reports.
  • Assist in the orientation and onboarding process:
    • Prepare materials for employee onboarding.
    • Order laptops, badges, and business cards, and set up employees in the Concur system.
  • Provide general HR support:
    • Track new hire laptop distribution and collection.
    • Manage Employee Recognition Program.
    • Assist with HR File Audits.

Financial Responsibilities
  • Manage the accounts payable process by approving expenses and invoices through Concur and inputting all bills received by mail or email into QuickBooks.
  • Work closely with management to ensure proper billing submission of expenses and payment status and investigate discrepancies.
  • Train and hold monthly Concur drop-in sessions for all staff and new hires.
  • Resolve Concur login issues.
  • Process checks weekly and as needed.

Other Responsibilities
  • Screen and direct incoming calls and take messages.
  • Receive and distribute daily mail and packages, responsible for mailing out all outgoing mail and packages.
  • Track inventory of office supplies and place orders as needed.
  • Liaise with IT to resolve phone, computer, and printer issues as necessary.
  • Set up and mail Hotspots when requested.

Qualifications
  • Associate degree in Human Resources, Finance, or Accounting or at least three years of related experience or an equivalent combination of experience and training.
  • Demonstrated ability to maintain strict confidentiality when handling sensitive information is essential.
  • Knowledge of Microsoft Office Suite, Word, and Excel is a must.
  • Familiarity with finance software, database applications, or programs like Concur and QuickBooks.
  • Excellent verbal, written, and in-person communication skills.
  • Ability to multi-task, meet pressing deadlines, and anticipate needs.
  • Ability to work independently and autonomously.
  • Excellent organization, interpersonal skills, and attention to detail.
  • Adaptable to competing demands and demonstrate the highest level of customer/client service and response.
  • The position requires occasionally lifting office products and supplies, up to 20 pounds.
  • Reliable transportation is needed.

Requirements

While performing the duties of this job, the employee is required to talk and hear regularly. The employee must be able to remain in a stationary position 80% of the time. The employee needs to move inside and outside the office to access file cabinets and office equipment. The position requires occasionally lifting office products and supplies, up to 20 pounds, and traveling to various locations for meetings. Reliable transportation is needed.
