Job Overview


This position is designed to outline the general responsibilities and expectations associated with the role.


The primary function is to assist in the coordination of patient care, which includes managing appointment scheduling for practice visits and treatments in alignment with physicians' availability while following established policies and procedures.


Responsibilities include:

  • Scheduling necessary outpatient tests and procedures.
  • Managing patient registration tasks, including the entry and verification of patient demographics and insurance details.
  • Obtaining required referrals and authorizations, ensuring accurate documentation within the electronic medical record (EMR) system.
  • Creating and coordinating outgoing referrals.
  • Providing patients with Facility Fee Disclosures, estimates of charges, and relevant educational information.
  • Preparing after-visit summaries and informing patients about upcoming appointments, schedule changes, co-payments, and essential insurance information.


Additionally, this role involves:

  • Offering information to patients, family members, and referral sources regarding hospital policies, available programs, wayfinding, and parking.
  • Maintaining a professional and organized work environment while multitasking in a fast-paced setting.
  • Assisting with tracking and ordering office supplies.
  • Utilizing a multi-line phone system and software to manage calls related to patient care coordination, including scheduling and canceling appointments and verifying demographic information.
  • Participating in mock, regulatory, and accreditation surveys.
  • Performing routine clerical duties such as photocopying, filing, faxing, and maintaining communication between clinicians, administrative staff, and patients.
Qualifications:


Education and Experience
A High School Diploma or equivalent (GED) is required. Experience in a healthcare environment is preferred but not mandatory.


Knowledge, Skills, and Abilities
The ideal candidate will demonstrate:

  • Understanding of various insurance plans, including Medicaid and HMOs.
  • Strong verbal, written, and interpersonal communication skills to effectively convey hospital policies and procedures.
  • Ability to complete intake forms and respond promptly to instructions.
  • Effective listening skills to accurately capture and document patient information.
  • Proficiency in computer systems for entering and retrieving patient information.
  • Capability to build and maintain positive relationships that enhance customer service.
  • Resourcefulness and problem-solving skills for addressing inquiries and scheduling issues.
  • Independence and resilience under pressure.
  • Strong organizational skills to manage multiple tasks efficiently.
  • Adherence to hospital and departmental policies, including patient privacy regulations under HIPAA.


Patient Safety

  • Reporting adverse events and near misses to management.
  • Communicating risks in processes and procedures to appropriate personnel.
