Job Summary

We are seeking a highly organized and detail-oriented Records Coordinator to join our team at the Center for Developmentally Disabled. The successful candidate will be responsible for maintaining accurate and up-to-date personnel files, ensuring compliance with ADA specifications, and providing exceptional support to various departments within the organization.

Key Responsibilities
  • File all paperwork as needed for the human resource department, ensuring timely and accurate processing.
  • Sort and categorize papers alphabetically and by content, dates, and significance for electronic filing.
  • Create electronic personnel files for new employees, adhering to best practices and organizational standards.
  • Maintain personnel files according to ADA specifications, ensuring confidentiality and data protection.
  • Enter paperwork into electronic systems using data entry or optical scanners, ensuring accuracy and efficiency.
  • Handle requests to access files, exercising discretion and confidentiality.
  • Follow policies and confidentiality guidelines to safeguard data and information.
  • Assist with answering phone calls when the receptionist is unavailable, prioritizing messages and responding in a timely manner.
  • Partner with recruiters to ensure required documentation is filed during onboarding.
  • Support training programs to track completed training of all staff in electronic files and HRIS.
  • Work with supervisory teams to ensure training checklists are received and filed.
  • Organize personnel records for audits or accreditation purposes, ensuring compliance with state and federal laws.
