Job Title: Administrative Assistant

Location: Pasadena, CA Hybrid 3 Days in the office and 2 from home.

Salary: $24-$25 Per hour

Job Summary

We are seeking a highly organized and proactive Administrative Assistant to provide essential support to ensure the smooth operation of our office. The ideal candidate will be responsible for managing administrative tasks, coordinating schedules, and assisting with various projects.

Key Responsibilities
  • Office Management: Answer and direct phone calls, emails, and other communications. Greet visitors and clients with a professional and friendly demeanor. Maintain office supplies and ensure the office is well-organized.
  • Scheduling & Coordination: Manage and coordinate calendars, schedule meetings, and arrange travel arrangements for staff. Prepare meeting agendas, take minutes, and follow up on action items.
  • Administrative Support: Assist with the preparation of reports, presentations, and correspondence. Handle confidential information with discretion. Support the PR team with research, media monitoring, and event planning.
  • Client Relations: Assist in maintaining positive relationships with clients and media contacts. Coordinate logistics for client meetings and events.
  • Project Assistance: Provide administrative support on various campaigns and projects. Assist with content creation, proofreading, and editing as needed.
Qualifications
  • Proven experience as an Administrative Assistant or in a related role.
  • Strong organizational skills with the ability to multitask and prioritize work.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with PR tools and platforms is a plus (e.g., Cision, Meltwater).
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Bachelors degree preferred but not required.
