Job Summary:

Touro University New York invites applications for a full-time Records Specialist position. The successful candidate will assist the Office of Student Services and Records in the collection, entry, maintenance, protection, and reporting of permanent student information.

Responsibilities:

  • Reports directly to the Assistant Dean for Student Services and Records.
  • Works cooperatively with students, faculty, administrators, and other student service offices to ensure the security and accuracy of records and excellent service provided to students.
  • Assists with the administration of weekly quizzes, assessments, midterm, and final exams.
  • Manages transcript request process and issues transcripts.
  • Receives, maintains, and organizes student files in paper and electronic format.
  • Exercises duties in accordance with FERPA as well as state and federal regulations.
  • Conducts an academic review with each candidate for graduation at least one semester prior to the candidate's final semester to affirm that the candidate will satisfy all degree requirements by the time they are eligible to graduate and notifies the candidate in writing of any degree requirements not satisfied.
  • Conducts a review of academic records and standings following each semester and communicates findings in written reports to the Dean, the Associate Dean for Academic Affairs, the Assistant Dean of Administration, and the Assistant Dean for Student Services and Records.
  • Works with the Registrar to organize student hearings before the Academic Policy Committee.
  • Assists the Registrar with recording grades in the student information system.
  • Assists the Registrar with CALI Awards, ordering of diplomas, etc.
  • Assists the Registrar in ensuring that all graduation requirements are managed on DegreeWorks.
  • Assists the Registrar with Add/Drop; Transfer of Divisions and other data entry as required.
  • Assists the Registrar with the Convocation for Graduates and with providing information for the Commencement Program.
  • Some Sunday work hours will be required throughout the academic year. Advance notice will be given.
  • Other duties as assigned by the Assistant Dean for Student Services and Records, Dean, or Associate Dean for Academic Affairs.

Qualifications:

  • Bachelor's Degree required.
  • Bachelor's Degree in Higher Education Administration, Student Services, or related field preferred.
  • Five years prior work experience in higher education.
  • Must have excellent verbal and written communication skills, interpersonal, and diplomatic skills.

Knowledge/ Skills/ Abilities:

  • Must be a capable, efficient, and well-organized individual with strong leadership and managerial skills.
  • Must be capable of working independently and as a cooperative team member in an office setting with confidential student records.
  • Must have excellent attention to detail.
  • Must have the capacity and willingness to maintain the confidentiality of student record information.
  • Proficiency in Microsoft Office Suite, including Word, Excel, & Outlook.
  • Experience with Banner, Degree Works, Parchment a plus.

Travel:

  • Conferences, training sessions at Touro University in Manhattan.

Physical Demands:

  • Light ability to work with files.
  • Sit at a desk and work on a computer for long periods during the day.

Salary:

USD $40,000.00/Yr. - USD $50,000.00/Yr.
