Public Works Administrative Coordinator

Sanibel, FL is seeking a skilled Public Works Administrative Technician to join its team. The successful candidate will be responsible for providing administrative support to the Public Works Department, including answering telephones, greeting customers, and performing various clerical duties.
This is a full-time position with a salary range of $47,632.00 - $70,096.00 Annually. If you have excellent communication skills, are detail-oriented, and possess experience in administration, we encourage you to apply.
About the Role
The Public Works Administrative Technician will work closely with the Public Works Director and management staff to provide administrative support. This includes preparing correspondence, maintaining data, producing reports, and updating the department's webpage. Additionally, the successful candidate will be responsible for meeting and greeting visitors, answering telephone calls, and arranging conference calls. They will also assist with bid document preparation, procurement card reconciliation, time entry, and other tasks as directed.
Key Responsibilities
* Meet and greet visitors to the Public Works Department
* Answer and screen telephone calls to direct callers to the proper employee or department
* Prepare correspondence, including business letters, memos, e-mails, and faxes
* Responsible for incoming/outgoing interoffice and postal mail
* Supports development and distribution of procurement and bid documents, specifications, public notices, letters, advertisements, and other correspondence
* Tracks contracts and agreements approaching the end of their term and coordinates renewal/re-bids
* Responsible for purchasing and tracking materials, supplies, equipment, and services
* Coordinates and arranges meetings, prepares agendas, and transcribes minutes of meetings
* Assists with records retention and digitization
Requirements
* High school diploma and Associate's Degree from an accredited college or university
* Three (3) years' progressively responsible receptionist, clerical or administrative type experience in functions such as public relations, planning, communications, journalism, public works, or an equivalent combination of education, training, certification, and experience
* Possess and maintain a valid Florida Driver's License or ability to obtain within 30 days of hire or promotion
* Florida Notary License or ability to obtain within 6-months of hire date
