POSITION SUMMARY


Responsible for preparing all necessary event documentation and collaborating with Sales, property departments, and clients to ensure a consistent and high-quality service throughout the pre-event, event, and post-event stages of property events.

This role primarily focuses on managing intricate events. Guarantees a smooth transition from sales to service and back to sales. Identifies opportunities to enhance revenue through up-selling and providing enhancements for exceptional events.

Acts on behalf of the Director of Event Management or Director of Event Planning and Operations in their absence.

Serves as the primary contact for the event planner on property and is accountable for their experience.

CANDIDATE PROFILE

Education and Experience

  • High school diploma or GED; 2 years of experience in event management or a related professional field.
OR

  • 2-year degree from an accredited institution in Hotel and Restaurant Management, Hospitality, Business Administration, or a related discipline; no prior work experience required.
CORE WORK ACTIVITIES

Executing Event Operations

  • Addresses issues and/or proposes alternatives to previous arrangements as necessary.
  • Leads pre-event and post-event discussions for assigned groups.
  • Identifies operational challenges related to their group and collaborates with property staff and clients to resolve these challenges and/or develop alternative solutions.
  • Manages client budgets to optimize revenue and fulfill client requirements.
  • Oversees client experiences from file turnover through the post-event phase until turnover back to sales.
  • Conducts pre- and post-event meetings as necessary to review and communicate group needs and feedback.
  • Manages group room allocations and meeting spaces for assigned groups.
  • Adheres to all standards, policies, and procedures.
  • Celebrates successes and publicly acknowledges the contributions of team members.
Executing the Sales and Marketing Strategy

  • Promotes products and services throughout the event process.
  • Participates in client site inspections and assists with the sales process when necessary.
  • Acts as a liaison between field sales personnel and clients throughout the event process (pre-event, event, post-event).
Managing Profitability

  • Oversees revenue and profitability associated with events.
  • Forecasts group sleeping rooms and event revenue (catering and audio-visual) for their groups.
  • Reviews billing and payments with clients.
Providing Exceptional Customer Service

  • Engages with guests to gather feedback on product quality and service levels.
  • Addresses guest issues and complaints.
  • Maintains visibility to clients at all times during the entire event process.
  • Follows up with clients post-event.
  • Welcomes clients during the event phase and hands off to the Event Operations team for the execution of details.
  • Aims to enhance service performance.
  • Sets a positive example for guest relations.
  • Reviews feedback and guest satisfaction results with associates.
  • Coordinates and communicates verbally and in writing with clients (internal and external) regarding event specifics.
The salary range for this position is $66,000 to $89,000 annually.
