Position Overview

We are seeking a dedicated and organized individual to handle a range of administrative and clerical responsibilities within a non-profit organization. The Office Support Specialist will provide essential assistance to the director, managers, and staff, ensuring smooth daily operations and overseeing general administrative functions.


Key Responsibilities:

  • Compose and distribute various forms of communication, including emails, memos, letters, faxes, invoices, and purchase requests.
  • Support the preparation of routine reports and documentation.
  • Maintain and update office records, including contractor and vendor contacts, member contributions, data collection, and data entry tasks.
  • Assist in organizing and managing events and logistics.
  • Procure office supplies as necessary.
  • Serve as the primary contact for the director and management team.

Qualifications:

  • Ability to work autonomously with minimal oversight.
  • Familiarity with office equipment such as copiers, printers, and telephone systems.
  • Proficient in MS Office Suite (especially MS Excel, MS Word, and MS PowerPoint), SharePoint, and Teams.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
  • Experience scheduling meetings using Outlook calendar.
  • Capability to prepare and manage expense reports.
  • Excellent written and verbal communication skills.
