HUMAN RESOURCES ADMINISTRATIVE ASSISTANT

Catholic Charities seeks a highly organized and detail-oriented Human Resources Administrative Assistant to support the Director of Human Resources. This role is responsible for collecting and managing data, updating HR databases, and communicating policies and procedures to employees.


Key Responsibilities:
  • Provide administrative support to the Director of Human Resources, including scheduling and calendar management.
  • Organize and maintain company personnel records and documentation, ensuring accuracy and compliance with regulations.
  • Collect and manage data, including new hires, terminations, and employee information.
  • Prepare and distribute HR-related paperwork, including policies and procedures.
  • Answer employee inquiries and provide information on employment-related matters.
  • Assist recruiters in posting job ads and processing resumes.
  • Manage the HR department's schedule and coordinate calendar activities.
  • Create reports for senior management as requested.
  • Help organize and manage new employee orientation, onboarding, and training programs.
  • Stay up-to-date on federal, state, and local employment laws and regulations.
  • Communicate office closings or changes in operation hours.
  • Perform other duties as assigned by the Director of Human Resources.

Requirements:
  • 3-5 years of experience as an HR administrative assistant.
  • Associate degree or bachelor's degree in business administration, human resources, or a related field.
  • Excellent organizational and time-management skills.
  • Ability to operate as a reliable and supportive team member.
  • Customer service and data-driven mindset.
  • Expertise in using computer software, specifically Microsoft Outlook, Word, and Excel.
  • Excellent written, verbal, and interpersonal skills.
  • Professional demeanor in dress, attitude, and communication.

Physical Requirements:

  1. Stand less than 33% of time.
  2. Walk less than 33% of time.
  3. Sit between 33% and 66% of time.
  4. Use of hands to finger, handle, or feel over 66% of time.
  5. Reach with hands or arms less than 33% of time.
  6. Full ability to talk and hear.
  7. Correctable vision.
  8. Able to lift/carry up to 10 lbs.
