Job Summary

The Office Assistant will play a vital role in the daily administrative operations of Excellence Community Schools. This individual will be responsible for organizing and running the office, supporting staff, and working under the supervision of the Office Manager. The ideal candidate will possess excellent interpersonal skills, a keen attention to detail, and the ability to maintain confidentiality.

Key Responsibilities
  • Organize office procedures and assist staff in optimizing their workflow.
  • Sort and distribute communications in a timely manner.
  • Create and update records, ensuring accuracy and validity of information.
  • Schedule and plan meetings and appointments.
  • Monitor office supplies and resolve any related issues.
  • Coordinate with various departments to ensure compliance with established policies.
  • Maintain trusting relationships with suppliers, customers, and colleagues.
  • Provide general support to visitors and callers.
  • Perform receptionist duties when needed.
  • Make copies and distribute materials to classes or students.
  • Support after-school and family events, as necessary.
  • Maintain student files and storage areas.

Requirements
  • High School Diploma or General Equivalency Diploma (G.E.D.) required.
  • Working knowledge of office equipment (Xerox, Phones, Fax Machines, etc.) required.
  • Thorough understanding of office management procedures required.
  • Excellent organizational and time management skills required.
  • Analytical abilities and aptitude in problem solving required.
  • Excellent written and verbal communication skills required.
  • Proficiency in MS Office Suite (MS Word, Excel, PowerPoint, Outlook) required.
