Administrative Coordinator

Our client, a leading transportation and logistics company, is seeking an Administrative Assistant/Receptionist to join their team. This role reports to the Human Resources Manager and is responsible for a diverse range of administrative duties.
Key Responsibilities:- Reception Duties:
- Receive and greet visitors, ensuring a professional and welcoming experience.
- Provide exceptional customer service, responding to inquiries and resolving issues in a timely manner.
- Manage incoming mail, documents, packages, and courier deliveries, ensuring prompt distribution or delivery.
- General Administrative Duties:
- Procure office supplies for the corporate office, ensuring a well-stocked and efficient workspace.
- Assist the Director of Transportation Compliance with data entry and record-keeping.
- Coordinate with building maintenance professionals as needed.
- Support the Manager of Corporate Relations with building maintenance issues and employee events.
- Human Resource Assistant Duties:
- Facilitate the onboarding process for new hires, including orientation and training.
- Maintain accurate records of active job openings and manage internal and external job postings.
- Schedule interviews for hiring managers and maintain up-to-date employee files, records, and documents.
- Perform periodic audits of HR files and records to ensure accuracy and compliance.
- Support employee benefit administration, answering routine questions and assisting with the open enrollment process.
- Monitor Annual Performance Reviews to ensure completion.
- Support special events, such as benefits open enrollment, employee appreciation events, and holiday parties.
- Assist the Human Resources Manager with reporting and special HR projects.
- High School Diploma or GED - required
- Associate or bachelor's degree - preferred
- Some HR knowledge or clerical experience - preferred
- Excellent interpersonal and communication skills
- Strong Microsoft Suite experience (Excel, Word, PowerPoint, Outlook)
- Superior organizational and time-management skills
- Analytical problem-solving capabilities
