Administrative/Human Resource Assistant

Our client, a leading transportation and logistics company, is seeking an Administrative/Human Resource Assistant to join their team. This role reports to the Human Resources Manager and is responsible for a diverse range of administrative duties.

Key Responsibilities:
  • Reception Duties:
    • Receive and greet visitors, ensuring a professional and welcoming experience.
    • Provide backup support for the central telephone system.
    • Manage incoming mail, documents, packages, and courier deliveries, ensuring timely distribution or delivery.
  • General Administrative Duties:
    • Procure office supplies for the corporate office.
    • Assist the Director of Transportation Compliance with data entry and record-keeping.
    • Coordinate with building maintenance professionals as needed.
    • Support the Manager of Corporate Relations with building maintenance issues and employee events.
  • Human Resource Assistant Duties:
    • Facilitate the onboarding process for new hires, including orientation and training.
    • Maintain accurate records of active job openings.
    • Manage internal and external job postings.
    • Schedule interviews for hiring managers.
    • Maintain up-to-date employee files, records, and documents.
    • Perform periodic audits of HR files and records to ensure accuracy and compliance.
    • Support employee benefit administration, answering routine questions and assisting with open enrollment.
    • Monitor Annual Performance Reviews to ensure completion.
    • Support special events, such as benefits open enrollment, employee appreciation events, and holiday parties.
    • Assist the Human Resources Manager with reporting and special HR projects.
Requirements:
  • High School Diploma or GED - required
  • Associate or bachelor's degree - preferred
  • Some HR knowledge or clerical experience - preferred

  • Excellent interpersonal skills
  • Excellent verbal and written communication skills
  • Superior active listening skills
  • Strong Microsoft Suite experience (Excel, Word, PowerPoint, Outlook)
  • Strong organizational and time-management skills
  • Analytical problem-solving capabilities
