Position Overview:

The Production Scheduler is responsible for overseeing and organizing the scheduling of various job assignments across all IWCO facilities. This role involves daily adjustments to the schedule to meet specific client requirements and operational needs.

Key Responsibilities:

  • Oversee and coordinate the daily scheduling of the production facility, ensuring that job assignments and machine line-ups are accurately reflected in the schedules.
  • Manage all aspects of production across various departments within the company.
  • Facilitate job assignments from all IWCO locations, ensuring alignment with client specifications and operational schedules.
  • Develop a comprehensive understanding of the different programs and schedules utilized at various locations.
  • Monitor equipment usage to ensure performance meets or exceeds client expectations.
  • Act as a key communicator across departments, including Operations, Client Services, Outsourcing, Sales, Prepress, Purchasing, Content Development, and Mail Logistics.
  • Identify potential open capacity and collaborate with the Scheduling Manager for proactive job assignment placements.
  • Work closely with Planning to address specifics for job assignments, including materials, inks, dies, layouts, sort sequences, and types of inserts as per client expectations.
  • Coordinate with Operations Supervisors regarding temporary labor needs.
  • Utilize various IWCO management systems for job information and material updates, ensuring accurate cross-referencing with workshare jobs.
  • Serve as a backup for the Equipment Scheduler and/or Scheduling Manager for daily equipment scheduling and job assignments.
  • Maintain effective communication with the Director of Operations and Scheduling Manager, providing insights on capacity constraints, production efficiency, and mail date requirements.
  • Oversee client sign-off events to ensure material deliverables align with production operations.
  • Communicate with Shipping Staff and Outsourcers to maintain current information on delivery statuses.
  • Coordinate with the mail department regarding any delays or changes to mailing schedules.
  • Work with Operations Supervisors to establish preliminary scheduling priorities based on equipment constraints and delivery statuses.
  • Participate in production meetings, offering input on scheduling line-ups and priorities.
  • Implement a Daily Priority Schedule to streamline operations.
  • Assist in investigating material discrepancies, reprint requirements, spoilage, and other related issues in collaboration with Production, Expediting, and Quality teams.
  • Communicate any quality concerns to the Director of Operations, Scheduling Manager, and Quality Manager for resolution.
  • Monitor the flow of incoming materials from various sources.
  • Perform additional duties as assigned.

Required Skills and Qualifications:

  • In-depth understanding of the Customer Service Approval Process and its relationship with scheduling.
  • Comprehensive knowledge of equipment and the Print/PrePress approval process.
  • Familiarity with the Workshare process across platforms.
  • Understanding of the Disaster Recovery Process to allocate scheduling resources effectively.
  • Strong analytical and organizational skills.
  • Excellent communication abilities, both written and verbal.
  • Detail-oriented with a focus on accuracy.
  • Able to thrive in a fast-paced, dynamic environment.
  • Capability to manage multiple tasks and prioritize effectively.

Education and Experience:

  • Associate's Degree or equivalent required; experience in production-related direct mail preferred.
  • Four years of experience in Direct Mail Marketing or two years in production scheduling or a related field.
  • Thorough knowledge of shop floor operations and general mail operations and regulations.
  • Proficient in Microsoft Office Suite and ERP systems.
  • Experience with EFI - Monarch Systems.

Physical Requirements:

  • Able to work for extended periods, including overtime as necessary.
  • Prolonged periods of sitting and working on a computer.
