The Regional Operations Coordinator (ROC) plays a vital role in delivering essential administrative, operational, and client service assistance to our Coldwell Banker Real Estate branch offices, leadership, and agents.

The ROC team collaborates effectively, dedicating time each week across various offices, offering support in numerous capacities including, but not limited to, managing agent transactions, serving as a liaison with our diverse departments and business partners, general office management, and customer service.

This role is instrumental in advancing our core principle of enabling our agents to lead exceptional lives.


Key Responsibilities:
Office Management

In partnership with our facilities and IT teams, ensure all office equipment is functional and operational.

Maintain adequate stock and organization of office supplies, and oversee mail distribution.

Welcome and guide agents/customers as necessary.

Agent Assistance

Deliver premium service for agents and clients visiting our offices, highlighting the teams available to assist them in their business endeavors.

Assist agents with any technology, procedural, or operational inquiries.

Foster a welcoming, inclusive office atmosphere that reinforces our agent value proposition.

Collaborate with the Agent Onboarding Team as required to facilitate the onboarding process for new agents.

Transaction Coordination

Ensure the efficient and accurate processing of agent transactions, guaranteeing timely commission payments and minimizing adjustments.

Digitally scan physical checks as necessary.

Act as the primary contact for following up on missing documentation or escalating transactional issues.

Conduct database entries and updates – MLS, Transaction Manager.

Verify that agent transactions comply with regulations, ensuring timely commission payments and avoiding adjustments.

Review systems related to Trident and transaction management, submitting issue resolutions through OnBase.

Branch Leadership Support

Assist the Branch Manager with maintaining office promotional materials, organizing sales meetings, conducting new agent orientations, and nurturing office culture.

Essential Qualifications:
1 or more years of customer service experience preferred; previous experience in a real estate office is advantageous.

Strong written and verbal communication skills.

Technologically adept in various areas, including familiarity with different operating systems on PCs and Macs, and the ability to navigate software applications.

Proficient in Microsoft Office.

Ability to communicate effectively with diverse audiences, including agents, branch managers, and operational support teams.

Customer-oriented, results-driven, and capable of managing multiple tasks simultaneously.

Flexibility to adapt and prioritize tasks as needed.

Willingness to travel to additional offices in the region as required.
