About the Job

Bilbro Construction Company Inc. is seeking an experienced Administrative Assistant to join our team. As an Administrative Assistant, you will play a vital role in supporting our Accounting Department and Office Manager.

Responsibilities
  • Manage accounts and perform weekly and monthly bookkeeping.
  • Input all invoices in Paperless for Project Managers' approval.
  • Help to reconcile payroll time sheets weekly.
  • Set up employee benefits.
  • Reconcile credit card expenses monthly.
  • Monitor and administer lien releases.
  • Maintain accurate cost coding for projects and administration.
  • Monitor and process certified payrolls bi-weekly.
  • Assist in the preparation of Sales & Use Tax Reports.
  • Update weekly check log for AP check runs.
  • Fielding communications with clients and vendors, fact-checking, filing, and other duties, as needed.
  • Manage receipts for joint checks and coordinate with A/P to pay subcontractors.
  • Assist with bank reconciliations.
  • Support field operations for administration requests.
  • Support and greet visitors as needed.
  • Create and maintain filing systems, both electronic and physical.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Ensures organization and clerical accountability.
  • Screening phone calls and routing callers to the appropriate party.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Anticipate the needs of others to ensure their seamless and positive experience.
  • Handling other office tasks as they are delegated.
Requirements
  • Bilingual in English/Spanish.
  • A minimum of a high school diploma or equivalent is required to work as an Accounting Assistant.
  • Associate Degree is preferred but not required.
  • Accounting Assistant is considered an entry-level position.
  • Prior administrative experience is a plus.
  • Attention to detail.
  • Proficiency with computers and bookkeeping software, strong typing skills.
  • Exceptional time management and verbal and written communication skills.
  • Familiarity with basic accounting principles.
  • Professional manners and a strong ethical code.
  • Ability to multitask and remain motivated and positive.
  • Commitment to working efficiently and accurately.
  • Experience in the construction industry preferred
