Job Overview

The Lead Construction Project Coordinator plays a vital role at REON, Inc. This position is designed to assist various key personnel, including Project Managers, Quality Control Managers, Site Safety & Health Officers, and Contract Managers in executing essential administrative functions for projects. The Project Coordinator will work closely with our office team and financial officers to monitor reports, invoices, orders, and documentation. Effective communication and contributions to REON's processes and best practices are expected from all key employees. Key Responsibilities: Construction Project Coordinator

  • Establish and monitor project requirements in collaboration with the Project Manager and team members for seamless information flow.
  • Oversee contracts ranging from $150,000 to $8,000,000.
  • Organize and generate necessary documentation from proposals through contract awards, pre-construction submissions, subcontractor coordination, scheduling, progress monitoring, invoicing, and contract closure.
  • Assist in creating and updating various reports to track work completed, labor details, and other critical information for expense, resource, and work status tracking. Provide both digital and hard copies.
  • Support the preparation of agendas, monthly meeting minutes, and distribution of relevant documentation to stakeholders.
  • Ensure the integrity of project files by confirming the collection of all necessary documents (e.g., bonds, insurance, signed subcontract agreements).
  • Manage and update subcontractor documentation for coordination, providing policy guidance and clear communication to subcontractors, vendors, and other visitors.
  • Gather subcontractor personnel information for badging, credentials, training, and contact details.
  • Prepare scheduled outage documents and advance notices for security, safety, and other plans.
  • Assist in coordinating material and equipment deliveries to the facility, confirming arrival dates and setup details.
  • Review and validate invoices from external vendors.
  • Monitor all project financials, comparing planned costs against actual expenses and job progress against billed amounts.
  • Communicate project status and issues requiring resolution to the Project Manager or other team members as necessary to maintain the construction schedule.
  • Collaborate directly with accounts payable, subcontractors, accounts receivable, and state agencies for tax issues, government reporting, and wage matters.
  • Provide updates on work status, accomplishments, and suggestions for process improvements to the internal team.

Qualifications and Skills: Construction Project Coordinator

  • A minimum of 5 years of experience with federal construction contracts is REQUIRED.
  • An Associate's Degree in MEP technical project management, general contracting, electrical contracting project management, or mechanical/industrial engineering is required. A four-year bachelor's degree is preferred.
  • Ability to obtain clearance for badging and access to federal facilities.
  • Capability to manage multiple priorities, be an effective team player, self-motivated, and a quick learner.
  • Exceptional organizational skills.
  • Understanding of safe management of Personal Identification Information (PII).
  • Clear comprehension of Revenue, Gross Margin, and Operating Income, with the ability to creatively resolve technical conflicts.
  • Excellent computer skills with proficient knowledge of MS Office applications.
