POSITION SUMMARY

This role provides specialized administrative, technical, and analytical assistance to an SCAO division and/or its director, ensuring the unit operates effectively. Responsibilities include verifying that work outputs align with the policies, procedures, and regulations of the Judicial Department, as well as the director's responsibilities and priorities. The position involves a variety of tasks to facilitate the division's smooth operation, such as managing calendars, overseeing budget development and management, compiling and analyzing data, preparing for daily activities and meetings, and coordinating supplies and logistical arrangements.

This position supports the Administrative Services Division (ASD) at the State Court Administrator's office, which encompasses various areas including Communications, Legislative Affairs, Legal, Facilities, Judicial Officer Education, and Security. The role focuses on legal administrative tasks, communication writing and editing, meeting organization, budget tracking, and onboarding/offboarding employees, among other responsibilities. Strict confidentiality is essential due to the nature of the division's work. Candidates should be adaptable, well-organized, and embody the organization's values. Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint is preferred. Initially, work will be primarily on-site, with the possibility of remote work after a designated period.

KEY RESPONSIBILITIES

  • Provide specialized administrative and technical support to ensure the effective functioning of the SCAO.
  • Ensure alignment of work products with Judicial Department policies and analyze data to generate reports.
  • Organize the director's schedule and coordinate logistics for travel, meetings, and training sessions.
  • Manage and resolve multiple email inquiries requiring prompt attention.
  • Assist in budget development by gathering information from various operational areas and monitoring expenditures.
  • Determine office supply and equipment needs and recommend resources accordingly.
  • Coordinate meeting logistics, including minute-taking, catering, and room setup.
  • Participate in committees to foster employee engagement and camaraderie.
  • Support onboarding and offboarding processes, including managing interviews and maintaining employee inventory.
  • Update and manage the Judicial Resource Manual and other data retention tools.
  • Perform additional duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position may involve providing guidance and oversight to other employees, ensuring quality of work and training as necessary.

KNOWLEDGE & SKILLS

Advanced skills and extensive knowledge in administrative functions are required. The incumbent should be capable of handling complex tasks and recognized for their technical expertise within the organization.

MINIMUM QUALIFICATIONS

High school diploma or G.E.D. is required, with additional work experience in related fields considered as a substitute for formal education. A minimum of 3 to 5 years of experience in a paralegal or administrative capacity is preferred.

WORK ENVIRONMENT

This role is primarily sedentary, involving minimal physical exertion, and is typically conducted in an office or similar indoor environment.
