Job Overview

The Facilities Operations Manager plays a crucial role in ensuring the efficient management, upkeep, and preventive maintenance of the property’s physical assets. This position is pivotal in enhancing the property’s value by overseeing and directing all assigned personnel or contracted services to create a welcoming, attractive, and secure environment for both customers and tenants.

Key Responsibilities:

Management of Physical Assets

  • Oversee all in-house and outsourced service providers to ensure compliance with housekeeping and maintenance agreements.
  • Implement and manage comprehensive preventive maintenance programs, maintaining all necessary logs and records with service providers.
  • Ensure all physical assets are maintained to the highest standards in a cost-effective manner.
  • Conduct regular inspections of common area facilities and report findings to the Property Manager.
  • Review operational procedures and provide recommendations on mechanical and construction-related matters to ensure adherence to corporate standards.
  • Perform spot checks to confirm that all contracted service providers meet contractual obligations and property standards.
  • Communicate property policies to tenants to ensure compliance with aesthetic standards and address any operational issues or tenant inquiries.
  • Perform additional duties as assigned.

Sustainability and Energy Management

  • Supervise the implementation of sustainability initiatives and energy conservation strategies to optimize energy use and promote environmental stewardship.
  • Manage energy management systems to ensure optimal operational efficiency, including the maintenance of physical assets and scheduling of utilities.
  • Perform additional duties as assigned.

Financial Oversight

  • Assist in developing the annual operations budget and financial objectives.
  • Review and approve financial documentation in accordance with company policies.
  • Administer approved budgets proactively, identifying opportunities for performance improvement and cost reduction.
  • Perform additional duties as assigned.

Capital and Project Management

  • Collaborate with the Property Manager to forecast capital expenses and identify property needs.
  • Maintain documentation related to capital projects and oversee construction issues, providing progress updates to the Property Manager.
  • Manage contract negotiations and ensure compliance with all executed agreements.
  • Perform additional duties as assigned.

Health and Safety Compliance

  • Oversee the implementation of health and safety programs, ensuring compliance and effective communication with tenants regarding safety protocols.
  • Review environmental policies with staff and service providers, ensuring awareness of hazardous materials and emergency procedures.
  • Lead safety initiatives and conduct regular safety meetings.
  • Perform additional duties as assigned.

Tenant Coordination

  • Manage tenant construction projects, serving as the primary liaison among all stakeholders.
  • Stay informed about local building codes and permit processes.
  • Conduct meetings with tenant contractors to ensure compliance with regulations and timely project completion.
  • Perform additional duties as assigned.

Required Qualifications:

  • A minimum of 7 years of experience in facilities management and commercial construction, preferably within the retail sector.
  • Strong self-motivation and the ability to manage multiple tasks effectively.
  • Proficient in Microsoft Office Suite and familiar with property management software.
  • Excellent communication skills, both written and verbal.
  • Thorough understanding of property operations, construction, and development.
  • Ability to lift up to 20 lbs and climb ladders exceeding 20 feet.
  • Must possess a valid driver's license.
  • Ability to read and interpret blueprints.
