Position Overview:

We are in search of a meticulous, proactive, and organized Administrative Coordinator to enhance our vibrant team. This role is pivotal in ensuring the efficient functioning of the executive office by overseeing schedules, organizing meetings, managing communications, and liaising with various stakeholders to meet deadlines. A high degree of confidentiality, professionalism, and the ability to juggle multiple tasks is essential.

Key Responsibilities:

Administrative Duties:

  • Oversee and maintain the schedules of the executive team, including setting up appointments, meetings, and travel plans.
  • Draft and refine correspondence, reports, presentations, and other necessary documents.
  • Manage incoming communications, ensuring prompt and accurate responses.
  • Assist in managing incoming sales, requiring basic mathematical skills to accurately handle transactions and financial records.

Meeting Management:

  • Organize and coordinate meetings, including preparing agendas, materials, and recording minutes.
  • Ensure follow-up on action items and decisions made during meetings.
  • Communicate with internal and external parties to confirm meeting arrangements.

Project Coordination:

  • Support the management and tracking of project timelines, ensuring all parties are informed of their responsibilities.
  • Monitor project progress and provide updates to the executive team.
  • Collaborate with various departments to ensure the smooth execution of company initiatives.

Event Coordination:

  • Plan and manage company events, conferences, and special projects.
  • Handle event logistics, including venue selection, catering, and communication with attendees.

Communication and Liaison:

  • Serve as a liaison between the executive team and other departments, clients, and external partners.
  • Promote effective communication and collaboration throughout the organization.

Confidentiality and Professionalism:

  • Manage sensitive information with the highest level of confidentiality and discretion.
  • Maintain a professional demeanor and positively represent the executive team.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Experience: A minimum of 3-5 years of experience as an executive assistant or in a similar capacity, ideally within the technology or marketing sectors.

Skills:

  • Exceptional organizational and time management abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent interpersonal skills and the ability to collaborate with all levels of staff and management.
  • Capability to address customer inquiries and resolve issues promptly and professionally.
  • High level of discretion and confidentiality.
  • Bilingual proficiency in English and Spanish is required.
