Position Summary: As a Contracts Administrator, you will be responsible for managing the contract process from receipt to final execution, ensuring compliance with federal and state prevailing wage laws, and supporting various departments with contract-related activities. This role requires a detail-oriented individual who can manage multiple tasks and work effectively with subcontractors.

Key Responsibilities:

  1. Contract Management:

    • Receive and print contracts, and route them for review.
    • Log contracts in the Contract Circulation spreadsheet.
    • Create and maintain contract binders and digital records.
    • Identify insurance and preliminary information requirements.
    • Manage contract setup in Sage 300 modules (JC and CN).

  2. Certified Payroll:

    • Complete required documents for certified payroll.
    • Send out DAS 140/142.
    • Communicate project-specific requirements to relevant stakeholders.
    • Coordinate with CPR administrators for online reporting setup.

  3. Safety and Compliance:

    • Identify and manage safety requirements.
    • Maintain safety documentation and certifications.
    • Ensure compliance with OCIP and CCIP enrollment, reporting, and audits.

  4. Renewals and Tracking:

    • Track contract circulation and follow up as necessary.
    • Manage renewals for insurance certificates and city licenses.
    • Assist with training certificates and renewals.

  5. Support Functions:

    • Assist APMs with invoice and PO reviews.
    • Manage gas cards and monitor gas usage for company vehicles.
    • Support superintendents with safety requirements and labor compliance.
    • Assist HR with new hire paperwork and safety form management.

Qualifications:

  • Experience working with subcontractors.
  • Familiarity with LCP Tracker, DIR Services, and LAUSD.
  • Knowledge of Federal and State prevailing wage laws.
  • Experience with OCIP and CCIP (enrollment, reporting, and audits).
  • Highly organized and proactive.
  • Excellent communication and interpersonal skills.

Preferred Skills:

  • Familiarity with identifying requirements for onsite insurance.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficient in using Microsoft Office Suite and relevant contract management software.
