Administrative Coordinator

Frost Brown Todd LLP is seeking an Administrative Coordinator to join its Indianapolis office. This full-time position plays a crucial role in supporting the team and providing a welcoming environment to clients and guests.
Key Responsibilities:
- Greet clients, vendors, and personnel with courtesy and professionalism.
- Coordinate conference room and visitor office scheduling using software for seamless meeting logistics.
- Manage food orders from external vendors and oversee payment and setup for meetings and events.
- Track visitors and notify building security to ensure security protocols are followed.
- Record parking validation distribution for visitors and staff.
- Maintain cleanliness and organization of conference rooms, reception desk, and surrounding areas.
- Support attorneys and clients with administrative needs, including notary services and facilities management.
- Assist with office communications, such as creating invitations and announcements.
- Provide general administrative support, including assembling files and handling routine tasks.
Requirements:
- Some college education or equivalent combination of experience and training.
- At least 3 years of experience working in an office setting, preferably in a law firm.
- Computer proficiency with Microsoft Office products.
- Ability to operate standard office equipment and prioritize tasks under time constraints.
- Interpersonal skills to communicate effectively with diverse groups.
- Ability to handle confidential information and self-direct work during slow periods.
- Estimated salary range: $45,000 - $55,000 per year, depending on experience.
