Rental Administrator Job Description Overview Stewart & Stevenson Power Products LLC is seeking a skilled Rental Administrator to join our team. As a key member of our rental department, you will be responsible for the administration of all aspects of rental policies and procedures. Responsibilities • Administer rental contracts, including processing new and existing contracts, recording and tracking rental assets, and scheduling pick-ups and deliveries. • Serve as the primary contact for customer communication, ensuring prompt and effective communication. • Place high volumes of equipment orders, obtaining customer information, finalizing details, and selecting equipment from inventory. • Coordinate transportation for orders, optimizing the use of transport and ensuring timely delivery and collection. • Secure equipment by checking availability, providing adequate notice to Dispatch and Service Departments, and coordinating with other rental companies when necessary. • Maintain ongoing communication with customers regarding rental contracts, delivery of rental equipment, and billing inquiries. • Assist Outside Sales Representatives with checking unit availability and customer accounts daily. • Support sales efforts by forwarding sales leads and incoming inquiries to the sales group. • Handle customer complaints in a professional manner, resolving issues to the satisfaction of the customer and company. • Match and approve vendor invoices daily. • Collaborate with the credit/collections department on accounts receivable issues as needed. • Provide training to new sales personnel and administrators as required. • Direct branch-level administrators on proper processes in accordance with rental department policies and procedures. • Work with other Divisional Administrators to assist with overflow in times of absence or disaster. • Administer and enforce all rental policies and procedures. Qualifications • Ability to communicate clearly and concisely in writing. • Effective communication skills using the spoken word. • Ability to perform work accurately and thoroughly. • Attention to detail and ability to follow systematic methods. Education and Skills • High School Diploma or General Education Degree (GED) and two to four years of related experience required. • Associate or Bachelor's Degree strongly preferred. • Proficient in Microsoft Office applications (Word, Excel, Outlook). • Prior experience with Oracle software preferred.
