Position Summary: The Client Support Specialist plays a crucial role in enhancing the Sales and Marketing operations. This position is responsible for addressing and resolving inquiries and challenges from the company's food manufacturing clientele by delivering exceptional support related to products, orders, and various service inquiries.
Key Responsibilities:
- Deliver outstanding customer service through a variety of tasks, including but not limited to:
- Process sales orders received via electronic communication or phone
- Verify, input, and confirm orders accurately
- Coordinate with other departments as necessary
- Provide customers with timely updates regarding their order status
- Document and manage customer complaints, product returns, or replacements
- Respond promptly to customer inquiries concerning pricing, availability, packaging, or shipping
- Compose correspondences, reports, bids, and email notifications in a professional manner
- Prepare and maintain contracts and balance reports
- Accurately update and sustain departmental records, including the customer database
- Proactively initiate follow-ups
- Assist Sales Representatives with sample requests, RFQs, contracts, reports, or order entries
- Perform additional duties as assigned
Required Skills and Abilities:
- Exceptional organizational and time management skills
- Attention to detail
- Ability to work independently as well as collaboratively with minimal supervision
- Efficiently follow and execute directions and instructions
- Excellent listening, writing, and verbal communication abilities
- Adaptability to changing priorities to meet deadlines
- Capability to apply basic mathematical calculations, critical thinking, and practical logic to resolve customer issues
- Willingness to work flexible hours when necessary
- Proficiency in relevant software and systems, particularly Excel spreadsheets and ERP systems (Sage)
Education and Experience Requirements:
- A minimum of 1 year of experience in a customer service role
- At least 2 years of completed college coursework
- Experience with ERP software and systems is preferred
