Key Responsibilities:

  • Engages in multiple projects of moderate complexity or segments of larger projects. Aids project leaders in the administration and coordination of projects to ensure successful completion of objectives. Offers technical and contract management assistance to project leaders throughout the design, construction, fit-up, and closeout stages of the project.
  • Develops, assesses, and modifies standard methodologies, procedures, and criteria. Identifies and resolves issues. Supervises contract administration services provided by architects to ensure that necessary field checks are performed during the construction phase, ensuring adherence to project specifications, plans, and established guidelines.
  • Conducts regular site visits with construction contractors to verify progress for the purpose of calculating monthly incurred costs for payment. Evaluates monthly schedule submissions as required. Reviews and negotiates an agreed recovery plan.
  • Facilitates coordination between architects and general contractors during various contract delivery methods. Reconciles estimates from the design phase.
  • Assists project leaders in managing, developing, and coordinating the design process to ensure that plans produced by architects meet functional program requirements and comply with budgetary, environmental, and legal standards.
  • Prepares requests for proposals, gathers, and analyzes bids for design and construction services. Collaborates with vendors and the Contracts Department for contract awards.
  • Conducts research and analyzes data to support project management efforts. Aids in the development and maintenance of the Estimate at Completion Cost (EAC) throughout all project phases.
  • Reviews change order requests. Evaluates the validity of change order requests and prepares estimates for work amounts or obtains estimates to negotiate agreed change orders, requiring negotiation skills for critical issues. Supports project leaders in drafting change order language.
  • Prioritizes tasks to meet established deadlines, assesses workload urgency, and forwards completed work to the appropriate levels within or between departments.
  • Communicates effectively with the team, relaying information that may require follow-up or input to ensure all deadlines are met.
  • Proficient in using MS Office and other software applications, as well as data entry into computerized systems.
  • Customer Service - Responds to data requests from various areas by communicating with the next level for approval.
  • Participates in staff/project meetings as assigned. Prepares data for departmental leadership review prior to meetings and follows up as necessary.
  • Ensures accuracy in data entry and proofreading before deadlines to maintain data integrity before any communications to leadership or external parties.
  • Provides training to other team members as needed.
  • Regularly updates departmental leadership throughout project durations to ensure deadlines are met and any issues are addressed.
  • Demonstrates precision and thoroughness in data entry into computer systems.
  • Adheres to confidentiality protocols.
  • Performs additional duties and projects as assigned.

Required Qualifications:

  • A combination of experience and education may substitute for a Bachelor's Degree.
  • 3-5 years of direct experience in healthcare construction project management and planning.
  • Proficient in supporting multiple project leaders. Ability to thrive in a fast-paced environment.
  • Strong skills in personal computer software programs including but not limited to Procore, MS Word, PowerPoint, Excel, Bluebeam, and Visio.
  • Detail-oriented with strong organizational skills.
  • Ability to work independently with minimal supervision.
  • Excellent time management and communication skills.

Preferred Qualifications:

  • Degree in Architecture, Interior Design, Project Management, Construction Management, or a related field.

Required Licenses/Certifications:

  • Fire Life Safety Training (LA City) must be obtained within 30 days of hire if not already certified, and maintained through renewal before expiration. (Required within LA City only)

The annual base salary range for this position is $81,000 to $133,000. When extending an offer of employment, factors such as the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, and external market considerations are taken into account.
