Office Coordinator - Educational Facility

Role Summary:

The Office Coordinator plays a crucial role in establishing a friendly and professional atmosphere for all students, staff, and visitors at our educational facility. This position involves welcoming guests, directing inquiries, and managing a diverse range of administrative responsibilities to ensure the efficient functioning of the office.

Work Schedule:

This is a full-time role requiring 40 hours of work per week, Monday through Friday.

Qualifications:

A High School Diploma or equivalent is mandatory.

Essential Skills:

Candidates must demonstrate proficiency in computer skills, particularly with Microsoft Office Suite. Strong organizational abilities, confidentiality, and adaptability to a dynamic office environment are essential. A valid driver's license is required, along with the capacity to become an approved driver. Previous experience in supporting individuals with developmental disabilities is advantageous.

Key Responsibilities:

  • Oversee the reception area, ensuring it remains tidy and inviting while managing phone communications in a professional manner.
  • Welcome and guide all visitors, including parents, clients, and vendors.
  • Handle postal duties, including report generation for the Finance Department and daily mail distribution.
  • Assist in organizing meetings, coordinating room arrangements, and managing certified mail.
  • Maintain comprehensive student records, including contact information for families and professionals, and support staff in communication efforts.
  • Facilitate communication regarding student transportation, liaising with drivers and transport services.
  • Respond to requests for student information from various entities, ensuring timely delivery of necessary documentation.
  • Conduct regular inventory checks for classroom and office supplies, maintaining accurate records and stock levels.
  • Prepare purchase orders, manage supply orders, and track expenditures.
  • Perform additional duties as assigned.
