Role Overview

The Customer Service Representative collaborates with sales, customer service, and engineering teams to fulfill customer requests efficiently.


Key Responsibilities

To excel in this role, the individual must effectively perform the following essential duties:

  • Coordinate with engineering and sales teams to assess customer bid specifications for quotations, including reviewing technical drawings.
  • Identify product and service needs in collaboration with customers.
  • Establish and nurture relationships with both existing and prospective clients.
  • Ensure precise order entry into the ERP system.
  • Collaborate with operations and supply chain teams to provide accurate information for managing customer accounts, ensuring timely delivery and order expediting.
  • Assist in managing documentation by confirming customer documentation requirements.
  • Guarantee compliance with export regulations by preparing accurate shipping documents and understanding customer export needs.
  • Maintain a professional interface with current and potential customers.
  • Promptly acknowledge and respond to customer inquiries, orders, standard quotations, terms and conditions, and delivery schedules.
  • Monitor open orders for delivery status and necessary maintenance.
  • Resolve customer complaints in partnership with the Customer Service Manager.
  • Support the creation of product support materials and promotional content aligned with Sales Department objectives.
  • Oversee and manage special projects as assigned.

Qualifications and Experience

Education

Essential:

  • High school diploma or G.E.D.

Preferred:

  • Bachelor's degree in Business or a related field from an accredited institution.

Experience and Skills

Essential:

  • Up to four (4) years of experience in order entry or customer service.
  • Knowledge of transportation and logistical compliance, including incoterms.
  • Strong office communication and customer service abilities.
  • Capability to work independently as well as collaboratively within a team.
  • Proficiency in PC-based software tools, including ERP systems, MS Office, and Outlook.
  • Excellent communication skills with the ability to engage effectively with diverse skill sets.
  • Ability to manage multiple tasks simultaneously.

Physical Requirements

The physical demands outlined below are representative of those that must be met by an employee to successfully perform the essential functions of this role:

  • Ability to travel to various facilities as needed for meetings or training.
  • Capacity to lift and carry files, packages, or boxes weighing up to fifty (50) pounds.
  • Vision, either natural or corrected, to read printed materials and computer screens.
  • Hearing and speech, either natural or corrected, to communicate effectively in person and over the phone.
  • Proficiency in using standard office equipment, including telephones and computers with keyboards.
  • Ability to wear required Personal Protective Equipment (PPE), such as hard hats, steel-toed shoes, and safety glasses.

The work environment characteristics described here are representative of those an employee may encounter while performing the essential functions of this role:

  • Work is primarily conducted indoors in a controlled environment, with some exposure to manufacturing and shop areas that are open and not air-conditioned.
