Job Overview

  • Manages daily cash reconciliation, deposits, and ensures the security of petty cash.
  • Compiles and submits monthly statistical reports to upper management for all services and departments.
  • Supports the development of departmental goals and metrics to achieve timely and effective outcomes.
  • Recommends procurement of supplies and equipment necessary for efficient operations.
  • Participates in on-call rotation as required.
  • Analyzes departmental productivity and assists in improvement initiatives.
  • Evaluates data related to physician productivity and member services.
  • Collaborates with the Marketing Department to enhance membership retention strategies.
  • Addresses and resolves member complaints and grievances effectively.
  • Ensures timely issuance of referrals.
  • Maintains compliance with regulatory requirements through updated documentation of licenses and training.
  • Communicates daily operational issues with the Administrator.
  • Schedules and leads staff meetings to ensure alignment and communication.
  • Strives to maintain high levels of customer satisfaction among all members.

Supervisory Duties:

  • Oversees the daily activities of the medical office staff.
  • May assist in the disciplinary process and termination of employees in line with company policies.

Required Skills and Qualifications:

  • Strong knowledge of office management practices.
  • Exceptional verbal and written communication abilities.
  • Outstanding interpersonal and customer service skills.
  • Strong organizational skills with a keen attention to detail.
  • Effective time management skills with a proven track record of meeting deadlines.
  • Proficient in Microsoft Office Suite or similar software.

Minimum Educational Requirements:

High school diploma or equivalent is required; an Associate's degree in office administration or a related field is preferred but not mandatory. A minimum of three years of administrative and clerical experience in healthcare settings is essential.

MA Certification and relevant work experience are advantageous.

Physical Demands:

  • Ability to sit for extended periods while working on a computer.
  • Must be capable of lifting up to 15 pounds occasionally.
