Summary of the Role

We are seeking a skilled Supervisor, Office Services to join our team in Houston, Texas. The ideal candidate will have excellent organizational skills, a personable demeanor, and the ability to handle day-to-day routines and surprises with ease. This role involves providing strong, reliable support for the Houston Office by creating procedures, communicating company-wide, and working with our HSSE Department to maintain employees' and visitors' safety. The successful candidate will also help us achieve organizational efficiency by fostering a positive, inclusive work environment. Responsibilities include managing day-to-day office activities, overseeing visitors, ensuring peak operations, implementing policies and procedures, coordinating internal and external resources, and responding to requests and questions about office operations.
Key Responsibilities

  • Office Efficiency: Maintain common areas, organize and create procedures, handle correspondence, and oversee supplies and equipment.
  • Day-to-Day Operations: Oversee office activities as the main point of contact, including reception, office and kitchen supplies, work orders with the landlord, and other responsibilities.
  • Administrative Support: Provide direct administrative guidance and support as needed, including scheduling appointments, meetings, and events; booking travel; mailing and shipping packages; and updating contacts database and employee lists.
  • Facilities and Equipment: Oversee and ensure office equipment is set for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested.
  • Space and Infrastructure Planning: Manage all aspects of space/infrastructure planning, including moves, additions, and changes to workstations, and provide answers, resources, and solutions when requested.
  • Department Budget: Support the preparation of the Department Budget and administer and control its execution.
  • Team Performance and Development: Be responsible for the performance and development of the team assigned to the function.
