The role entails overseeing the preliminary intake procedures for all new voucher admissions, which includes diligently pursuing and compiling all necessary documentation. Assist Program Representatives by guaranteeing the accuracy and completeness of files prior to advancing to the subsequent phase of the process.

KEY RESPONSIBILITIES
  • Examine new admission files for precision and thoroughness, focusing on the correct application of forms, timelines, compliance with signatures, and overall file presentation, while processing transitions using the same review criteria.
  • Assess all Recertification documents for accuracy and thoroughness, emphasizing numerical correctness, proper form usage, timeliness, signature compliance, and file presentation.
  • Act as the primary contact for conducting initial intake and pursuing all required documentation for new admission files.
  • Manage timelines and logs for incoming reasonable accommodation requests.
  • Assist in converting tenant files to a 6-tab filing system.
  • Execute online income verification processes utilizing Enterprise Income Verification (EIV), The Work Number, State Supplemental Program Log, and Department of Transitional Assistance Centralized Eligibility and Processing (CEP).
  • Organize EIV, Work Number, and DTA CEP reports by Program Representative and distribute as necessary.
  • Collaborate with Program Representatives to handle all third-party requests, including employment, childcare, non-wage sources, unemployment, and child support.
  • Work with RAP Program Representatives to ensure accurate data entry of HUD-required supplemental information, including emergency contacts and language preferences.
  • Engage with clients to understand and address their needs, whether within or outside the scope of work.
  • Participate in engagement team meetings as requested and communicate effectively with clients and staff across various departments.
  • Maintain confidentiality of client, employee, and agency information in compliance with federal and state laws and funder requirements.
  • Ensure adherence to program/department, agency, and/or funder requirements, as well as SMOC policies and procedures.
  • Perform other duties as assigned.
QUALIFICATIONS AND SKILLS
  • High School Diploma or equivalent.
  • Preferred experience: 1-2 years in a related field.
  • Proficient in Excel, Windows, and Word.
  • Awareness of the needs of economically disadvantaged clients.
  • Understanding of Federal Section 8 and State MRVP/AHVP programs.
  • Able to thrive in a high-volume, productivity-driven environment.
  • Strong verbal and written communication abilities.
  • Experience with confidentiality protocols.
  • Ability to work collaboratively within a team.
  • Capable of completing complex and detailed tasks promptly.
  • Ability to work independently in a busy and diverse team setting.
  • Experience using software for data organization, storage, and analysis.

WORK ENVIRONMENT

This position involves direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services. A successful background check is a prerequisite.
