Position Overview

The HR and Office Administration Specialist plays a crucial role in supporting the daily operations of the HR department, safety initiatives, and project billing processes. This position encompasses a variety of responsibilities across multiple functional areas, including HR management, payroll processing, safety compliance, policy implementation, project billing, and maintenance of employee records.


Key Responsibilities:


HR AND PAYROLL MANAGEMENT
· Facilitate the onboarding process for new employees, ensuring all necessary documentation is prepared and processed;
· Organize pre-employment assessments, including background checks, drug tests, and fitness evaluations, while monitoring outcomes;
· Maintain comprehensive employee and departmental records in both physical and digital formats;
· Implement a dedicated filing system for I-9 documentation, ensuring accuracy and compliance;
· Execute weekly payroll processing;
· Assist HR and payroll with various special projects as required;


SAFETY AND COMPLIANCE SUPPORT
· Oversee safety documentation for new hires;
· Manage the authorized drivers list by adding or removing personnel as necessary;
· Review DMV notifications within the driver monitoring system;
· Address and respond to inquiries regarding driving performance;
· Ensure compliance with Department of Transportation (DOT) regulations, including tracking mandatory annual physical evaluations;


GENERAL ADMINISTRATIVE FUNCTIONS
· Manage project billing processes;
· Administer third-party prequalification management systems;
· Update insurance documentation to meet annual compliance requirements;
· Assist in the completion of project prequalification questionnaires;
· Provide support for various administrative tasks as needed;


Qualifications:
· A minimum of one to two years of experience in HR or related fields;
· Exceptional organizational skills with a keen attention to detail;
· Ability to meet deadlines effectively;
· Strong commitment to maintaining confidentiality;
· Proficient verbal and written communication skills;
· Excellent interpersonal abilities;
· Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook;
