Position Overview

The Heilbrunn Department of Population and Family Health at Columbia University's Mailman School of Public Health is seeking a Program Coordinator for Academic Initiatives to enhance the Academic Program. This department comprises a diverse group of faculty with expertise in areas such as public health, law, sociology, psychology, medicine, social work, demography, focusing on pressing domestic and global issues related to sexual and reproductive health and rights, forced migration, child and adolescent health, environmental justice, human rights, and complex health systems. This role will report directly to the Director of Academic Programs.

Key Responsibilities

Applied Practice Experience (Practicum) Management - 25%

Oversee student advising related to the required MPH Applied Practice Experience (APEx), including student communication and outreach, approval of APEx Scope of Work, ensuring compliance with degree requirements, advising on IRB requirements for human subjects research, distribution of flight stipends for eligible students, liaising with the Mailman Office of Field Practice, tracking student APEx Completion Forms, and coordinating departmental assessment of student APEx completion, including the departmental Applied Practice Experience symposium.

Event Coordination - 25%

Manage the planning and organization of departmental student events, which includes communication about events, advertising, room reservations or virtual meeting setups, ordering food and supplies, receiving deliveries, and overseeing setup and cleanup.

Admissions Support - 10%

Assist in the department's admissions process by reviewing applications, assigning faculty readers, preparing materials for the Admissions Committee meeting, and supporting the recruitment and yield of prospective and admitted students.

Administrative Duties - 20%

Support the administration of the academic program, including maintaining records of program data and student progress, managing student databases, overseeing student registration, conducting degree audits, managing course listings, and supporting CourseWorks/Canvas platforms, as well as scheduling meetings and preparing agendas and notes for committees.

Communication Facilitation - 15%

Enhance academic program communication by maintaining departmental student listservs, sharing job opportunities with students via email, collaborating with the department's Communications Officer to promote academic programs and students through online platforms, and managing job opportunity communications for alumni.

Additional Responsibilities - 5%

Perform related duties and responsibilities as assigned.

Minimum Qualifications

  • A bachelor's degree or equivalent in education and experience, along with three years of relevant experience.
  • Exceptional interpersonal, communication, and organizational skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, etc.).

Preferred Qualifications

  • A master's degree in a related field (e.g., health education, higher education, public health, psychology, or social work) is preferred.
  • Experience in assisting or coordinating academic graduate programs.
  • Experience in a public health or student services environment (academic or applied).
  • Experience in student advising.
