Job Summary

The Senior Accountant is a seasoned accounting professional with a background in payroll. This role is responsible for maintaining the integrity of payroll processes to ensure accurate and timely payroll for New World Medical Employees and compliance with all state and federal regulations. The Senior Accountant will streamline and establish a sustainable foundation of payroll processes, supporting a fast-paced and high-growth environment. Key responsibilities include managing payroll accounts, including payroll-related benefits, payroll taxes, and the month-end close & reconciliation process. This position will partner with other functions, such as human resources, to ensure our payroll accounts are maintained appropriately. The Senior Accountant will also ensure compliance with established internal controls and prepare supporting audit schedules.

Key Responsibilities
  • Analyze, audit, reconcile, and resolve complex payroll processing and employee payroll issues to ensure smooth payroll processing.
  • Ensure payroll reporting, policies, and payments are compliant with company policy, Generally Accepted Accounting Principles (GAAP), and applicable regulations.
  • Research and interpret applicable regulatory requirements and resolve tax, withholding, garnishment, and wage/hour issues for payroll processing.
  • Respond to auditing and regulatory inquiries.
  • Create standard operating procedures, prepare journal entries, and accrual schedules for payroll and benefits.
  • Reconcile balance sheet accounts related to payroll taxes & benefits.
  • May work with system programmers and/or vendor to achieve solutions or administer company payroll system with outside service provider.
  • Consistently and accurately process payroll for 200+ employees.
  • Manage workflow as prescribed to maximize efficiency.
  • Audit timesheets accurately to ensure wages and benefits are properly distributed.
  • Calculate the correct amount incorporating overtime, deductions, bonuses, etc.
  • Participate in month-end closing and financial audits.
  • Process 401(k) elections, set up deductions, and monitor reports to ensure proper deductions are taken and reported.
  • Conduct year-end reporting for W-2s, etc.
  • Receive approval from upper management for payments when needed.
  • Prepare and execute pay orders through an electronic system or distribute paychecks.
  • Administer statements of payment to personnel either electronically or on paper.
  • Process taxes and payment of employee benefits.
  • Keep track of hour rates, wages, compensation benefit rates, new hire information, etc.
  • Address issues and questions regarding payroll from employees and superiors.
  • Prepare reports for upper management, finance department, etc.
  • Communicate with HR teams to make necessary changes/updates to accounts.
  • Multi-state payroll registration and processing.
  • Be proactive in providing recommendations regarding process improvements, improved productivity, service quality, increased internal controls, and cost-saving measures; and implement such approved measures.
  • Prepare and analyze headcount budgets.
  • Prepare and analyze other departmental budgets.
  • Perform other related duties or ad hoc projects.
Requirements
  • Solid understanding of accounting fundamentals and payroll best practices.
  • Extensive knowledge of Federal and California employment law.
  • Very good knowledge of legislation and regulations of the field.
  • Trustworthy and ability to maintain a high degree of confidentiality.
  • Ability to perform detailed work with a high degree of accuracy.
  • Excellent organizational, verbal, and written communication skills.
Education and Experience
  • Bachelor's degree in Business, Accounting, Finance, or related field preferred.
  • 5+ years of corporate accounting experience, manufacturing environment, and payroll processing preferred.
  • Intermediate knowledge of MS Word, Outlook, and Excel (pivot tables and VLookup).
Physical Requirements
  • Must be able to remain in a stationary position at least 50% of the time, including sitting at a desk and working on a computer.
  • Occasionally move about inside the office and travel to and from office buildings. This may include, but is not limited to, bending and walking.
  • Must be able to operate a computer and other office productivity machinery, such as a computer printer, computer keyboard, calculator, etc.
  • Occasionally lift up to 15 pounds. This may be performed with reasonable accommodation.
  • Ability to listen and speak with others. Must be able to exchange accurate information in these situations.
  • View and type on computer screens for long periods of time.
