Overview:

The primary duty of the Client Relations Specialist is to address the concerns of builders and homeowners, ensuring that all projects are executed to their complete satisfaction.

This role requires a proactive problem solver with exceptional communication skills, demonstrating urgency and diligence in responses to both clients and colleagues.


Key Responsibilities:

Entry Level:
  • Respond to requests from builders and homeowners as necessary.
  • Initiate claims and manage the claims process with vendors.
  • Assess and diagnose product and installation challenges.
  • Collaborate with various departments to reduce service-related issues.
  • Identify recurring production problems that lead to service items and work with the production team to resolve them.
  • Schedule appointments for employee technicians and independent contractors.
  • Coordinate with external trades to facilitate repairs.
  • Prepare billing within the service department's quoted prices.
  • Handle challenging clients and situations effectively.
  • Perform efficiently in a dynamic, fast-paced environment.
  • Maintain confidentiality in sensitive situations and ensure timely follow-up on tasks.
  • Complete other assigned duties as required.

Required Skills and Qualifications:

Entry Level:
  • High school diploma or GED is mandatory.
  • Ability to present information clearly and respond to inquiries from managers, clients, and homeowners.
  • Strong interpersonal skills to foster professional relationships with builders, vendors, and team members.
  • Proactively identify and resolve conflicts and issues.
  • Organizational skills to maintain tracking systems for the ordering and production processes.
  • Excellent written and verbal communication abilities.
  • Capability to work independently and as part of a team without constant supervision.
  • Ability to adapt to changing work assignments and assist team members as needed.
  • Self-prioritization of tasks is essential.
  • Willingness to escalate issues when necessary.
  • Familiarity with internet, inventory, project management, and office software (including Microsoft Excel, Word, and Outlook).

Preferred Qualifications:
  • One year of relevant work experience.
  • Bilingual skills (English/Spanish) are advantageous.
  • Experience in service or hospitality sectors is a plus.

Job Competencies:
  • Basic technology skills, including proficiency in MS Office Suite.
  • Strong communication skills, particularly in written form.
  • High organizational and time management skills, with the ability to meet deadlines in a fast-paced environment.
  • Ability to take ownership of responsibilities and manage interpersonal relationships effectively.
