Event Logistics and Equipment Specialist

Onsite Role

Candidates must be capable of performing physical tasks that include continuous standing, walking, lifting, bending, twisting, and stooping without limitations.

Availability for weekend work is essential, with short notice depending on the event calendar. Weekend shifts may be required approximately twice a month, with flexible weekday hours permitted as needed.

Typical work schedule is Monday through Friday, consisting of 8-9 hour shifts (between 7am and 5pm), based on event requirements.

Job Overview:

The Equipment Specialist is tasked with executing scheduled or directed activities to ensure that the conference rooms and designated venues are equipped and arranged according to specifications.

Key Responsibilities:

  • Expertise in setting up specialized sound, audio, visual, and live streaming equipment, including sound mixers, monitors, DVD players, mult boxes, and podium gear.
  • Diagnosing and resolving issues with sound and audio equipment, including both state-provided and client-supplied gear, ensuring full operational capability; employing creative problem-solving skills when challenges arise.
  • Reviewing task sheets, organizing timelines, and planning setups for rooms and venue activities.
  • Evaluating conference rooms and event locations for necessary equipment, gathering required items, and preparing the space; ensuring that doors are unlocked, lights are operational, and blinds are fully opened.
  • Transporting excess equipment and furniture to storage areas.
  • Setting up all necessary equipment and furnishings as per requests.
  • Maintaining a presentable meeting area by cleaning, vacuuming, dusting, and disposing of trash as needed.
  • Managing Statehouse events with efficiency and situational awareness.
  • Ensuring all event spaces are tidy by clearing customer waste and cleaning up catering remnants.
  • Resetting event spaces as required within specified timeframes, particularly during high-activity periods.
  • Executing tasks according to detailed written and verbal instructions while adhering to established protocols.
  • Taking the lead in guiding other staff members in the absence of direct supervision.
  • Cleaning carpets as scheduled or as necessary using commercial-grade equipment.

Qualifications:

  • High school diploma or equivalent.
  • Experience in transporting and arranging furniture and equipment in event settings.
  • Strong planning, organizational, and prioritization skills.
  • Excellent verbal communication abilities.
  • Familiarity with sound, audio, and visual technology.
