Solar Project Coordinator

Position Title: Solar Project Assistant

Key Responsibilities:

  • Provide comprehensive administrative support for daily operations.
  • Organize and maintain both physical and digital filing systems for records and correspondence related to the Solar division.
  • Assist Project Managers and the sales team with various documentation, including preliminary forms, lien releases, vendor account setups, and notarizations.
  • Complete necessary forms for pre-bid projects and safety as required.
  • Coordinate meetings, manage schedules, and assist in event planning.
  • Support scheduling of phone communications and email correspondence.
  • Process change orders and audit for inconsistencies within the solar division.
  • Track receipts and categorize them by project for precise job costing.
  • Review and authorize vendor and subcontractor invoices on a monthly basis.
  • Act as a liaison with the payroll department regarding certified payroll matters.
  • Handle all necessary permits and coordinate with municipal representatives as needed.
  • Assist Project Managers and site supervisors in submitting and monitoring all Requests for Information (RFIs).
  • Support all Project Managers with their daily operational needs.

Qualifications:

  • At least two (2) years of experience in back-office support within the construction industry.
  • Experience in commercial solar projects is preferred.
  • Self-motivated individual with a friendly demeanor and a collaborative spirit.
  • Proficient in computer applications including MS Project, MS Office 365, Excel, Outlook, and accounting software.
  • Strong ability to coordinate effectively and work collaboratively with team members.
  • Capable of working independently or as part of a team.
  • Adept at adapting to changing priorities.
  • Excellent organizational and communication skills, both written and verbal.

Compensation: Competitive hourly wage ranging from $27 to $34.
