Position Title: Solar Project Assistant
Key Responsibilities:
- Provide daily administrative support to the Solar department.
- Organize and maintain both paper and electronic filing systems for records and correspondence.
- Assist project managers and sales teams with various documentation, including preliminary forms and vendor account setups.
- Prepare necessary forms for pre-bid jobs and safety requirements as needed.
- Coordinate meetings, manage schedules, and assist with event planning.
- Support communication efforts by scheduling calls and responding to emails.
- Process change orders and conduct audits for discrepancies within the solar division.
- Track receipts and categorize them by project for accurate job costing.
- Review and approve monthly invoices from vendors and subcontractors.
- Act as a liaison with the payroll department regarding certified payroll matters.
- Manage the processing of required permits and coordinate with city officials as necessary.
- Assist project managers and superintendents in submitting and tracking Requests for Information (RFIs).
- Support all project managers with their daily operational needs.
Qualifications:
- At least two years of experience in back-office support within the construction industry.
- Experience in commercial solar projects is preferred.
- Self-motivated with a friendly demeanor and a collaborative spirit.
- Proficient in computer applications, including MS Project, MS Office 365, Excel, Outlook, and accounting software.
- Strong ability to work effectively with others and independently.
- Adaptable to changing priorities and demands.
- Excellent organizational and communication skills, both written and verbal.
Compensation: Competitive hourly wage ranging from $27 to $34.
