The Opportunity

The Corporate Safety Administrative Assistant plays a vital role in supporting the safety department's administrative functions and providing clerical support to the Corporate Director of Safety, the safety team, and the SME organization.

Responsibilities
  • Manage SME Vehicle Monitoring Systems, including Amerisure Fleet Alliance and GPS Insights, and distribute notifications as necessary.
  • Generate compliance reports for the field and corporate team, as required.
  • Order and distribute Personal Protective Equipment (PPE) and coordinate with vendors.
  • Ensure Plymouth office first aid stations are properly stocked and coordinate with vendors.
  • Coordinate and distribute first aid kits and supplies for SME fleet vehicles.
  • Coordinate and schedule employee safety training, issue safety training cards, and update employee training logs and databases.
  • Distribute Safety Alerts, Tailgate Talks, and Special Notifications, and provide monthly safety training topics to the field.
  • Generate compliance reports for the field and corporate team, as necessary.
  • Maintain required client portals, including ISN, Avetta, and Veriforce, and assist with national and large client RFP responses.
  • Assemble Site Specific Safety Policies (SSSP) as needed.
  • Schedule new hire and annual physicals/medical reviews, as applicable, and partner with HR when necessary.
  • Generate compliance reports for the field and corporate team, as necessary.
  • Use document control methods to maintain documents on appropriate file servers and repositories, and revise/edit documents as assigned or apparent.
  • Support Safety Calls/Meetings by managing invitation lists, confirming responses, preparing meeting minutes, and tracking attendance.
Requirements
  • Competency in computer operating systems and current MS Office Suite programs (Word, Excel, Outlook, Teams, and PowerPoint).
  • Experience in an administrative office role.
  • Excellent proofreading skills related to word usage, flow, and punctuation.
  • Ability to understand and adapt to change and react productively to frequent interruptions and changing conditions.
  • Ability to work independently and as part of a team.
  • Ability to reprioritize throughout the day as urgent needs arise.
  • Comfortable meeting tight deadlines and adapting to changing project needs with little to no notice.
  • Willingness to work occasional overtime, weekends, and travel overnight (rare) to meet the needs of our clients.
  • Experience in processing confidential information and understanding privacy laws and Company policy governing employee information.
