Position Overview

We are seeking a dedicated Administrative Assistant to provide essential support within our organization. This role is crucial for ensuring smooth operations and effective communication across various departments.

Key Responsibilities:
  • Provide focused administrative assistance to Project Managers, Estimators, and Directors within the designated department.
  • Assist with various administrative tasks, including but not limited to:
    • Entering data into the CRM system for all prospective projects.
    • Updating the CRM with bid details and notes.
    • Managing initial project documentation related to billing and other essential project data.
    • Preparing billing files.
    • Compiling contract packages for signatures.
    • Processing invoices, receivables, and job closure documentation.
  • Perform additional tasks as directed by management.

Qualifications:
  • 2 to 4 years of relevant experience in a similar role, preferably within the construction sector.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong organizational and time management abilities.
  • Exceptional follow-through and follow-up skills.
  • Ability to thrive in a fast-paced work environment.
  • Friendly and approachable demeanor.
  • Previous experience in the construction industry is advantageous.
