  • Data Management: Compile, maintain, and monitor financial data from ERP and internal systems, preparing detailed financial reports in Excel format. Weekly updates will be provided to relevant stakeholders regarding the financial status.
  • Reporting: Develop Excel spreadsheets and visual representations that summarize budgets, expenditures, and commitments, ensuring clarity and accuracy in financial tracking.
  • Collaboration: Work closely with internal teams involved in financial processes to support the mission of the organization.
  • Proposal Tracking: Manage research proposals by generating necessary documentation and ensuring proper routing for approvals.
  • Documentation: Research and track non-procurement statements of work, budgets, and related documentation, managing approximately 20 proposals annually.
  • Workshop Support: Assist in the preparation and planning of workshop approval packages, coordinating approved workshops as per the outlined plan.
  • Information Management: Respond to inquiries from participants and document workshop minutes, including actionable items for follow-up.
  • Execution: Support the execution of multiple workshops and short courses, providing necessary administrative assistance.
Essential Qualifications:
  • At least three years of experience in an administrative support capacity within a government, military, or academic environment.
  • Proficient in Microsoft Office Suite and the Mac Operating System, with a minimum of three years of experience.
  • Extensive experience with Microsoft Excel for financial data compilation and reporting.
  • Familiarity with government travel and financial regulations, particularly DTS, and experience with ERP systems.
